Office Administrative Assistant
Job Description
The office administrative assistant handles incoming and outgoing communications, invoicing and billing, expense tracking, budget management, registration processes, and updates our website and social media platforms. They serve as the first point of contact for families, visitors, and staff.
Essential Duties and Responsibilities

Greet and assist parents, visitors, and staff in a friendly and professional manner.

Answer and direct phone calls, emails, and other communications.

Coordinate communication between families, staff, and administration.

Maintain student records, enrollment files, attendance records, and other confidential documents in compliance with licensing requirements.

Assist with student registration, enrollment, and withdrawal processes.

Prepare and distribute correspondence, newsletters, forms, and other communications.

Create invoices, process tuition payments, and maintain budget and accurate financial records as assigned.

Order and maintain office and classroom supplies.

Perform other administrative duties as assigned by the Preschool Director.
Qualifications
-
High school diploma or equivalent required; associate degree preferred.

Previous administrative, office, customer service, or early childhood education experience preferred.

Proficiency in Microsoft Office, Mailchimp, Brightwheel, and WIX, or be able to learn these platforms efficiently.

Effective and concise verbal and written communication skills.

Ability to maintain confidentiality and handle sensitive information.

Strong attention to detail and accuracy.
